I went ahead and asked Tri to put more detailed information about the AHEAD in Texas Spring Conference on the website in HTML format.

I may also go back and reformat some of the forms so that we can put them up individually for download and in a more accessible format.

Attached is my re-formatted version of the conference packet (Word and PDF format).  I've also attached extracted PDF pages for the specific forms that some of you might want to send out in reminder e-mails (board nomination, scholarship application), without sending the entire packet.

The main issue with accessibility for screen readers was (1) the use of text boxes/spacing for formatting; (2) not alt-texting images, and (3) not identifying table header rows.  I also added the use of "styles" (heading tags) to make navigating the document easier for screen readers; added the credit card payment options; and corrected a few minor typos I found.

Please take a moment to look over the packet to make sure I didn't leave anything out or any transposition errors.

In particular I want to make sure that Alan and Rhonda are okay with the revised version before I replace the version on the website.

One thing we might want to add to the website is information on parking and options for transportation (Airport info, suggestions for how to  get to campus from the local hotels, etc).

Unless anyone is opposed, I am going to re-format the conference registration packet so the packet information and forms are more accessible (and to add the credit card payment option to the registration form).

I'm also considering also saving the forms (registration, membership, scholarship application, silent auction, stipend) out separately to make it easier to download and print them without having to open and sort through the entire packet.

I looks good to me.  The only thing is - it looks like we will probably have an Exhibitor session during the final breakout of concurrent sessions of Friday.  I just had 2 Exhibitors not yet registered contact me this week about still being able to sign up to do one of the Exhibitor sessions.

Please pay particular attention to the number of people I "guesstimated"  for each food service activity and tell me if you think it's too high, too low, or just right.  We will be able to adjust the numbers some as we get closer to the conference itself.

Suggested Corrections:


*         The morning break time on 4/11 needs to be fixed.  It currently reads 10:30 am - 10:15 am.  I'm assuming you meant 10:45 am.

*         The afternoon break time on 4/11 is an hour starting at 2:15? If so then set up needs to be done by 2:00, not 2:45.

If the pre-conference is all day, I would include lunch (box lunch) so they don't have to search for something.

Numbers for participants look okay for now.

Rhonda,

It looks like we will be eating a lot.. I like that J  Do you know if we
will have other options rather than box lunches.  I think that they will
want some time away.. I can't guarantee that I'm exciting enough to make
them want to work through lunch or even sit in the same room. If we travel
off site I can always use the credit card.

The Site Committee is not looking at "box lunches" at all!!  Yuk!

We're looking at a buffet style lunch (so we don't have to pay for servers) that is "yummy."

It looks like we will be eating a lot.... I like that :)  Do you know if we will have other options rather than box lunches.  I think that they will want some time away.... Sounds like a reasonable solution.  We have had interesting issues with that position in the past with people doing their best but really not knowledgeable and who have been "forced" into the volunteering so the position was filled.

It sounds fine BUT we need to double check policy/procedure to make sure
that we are not in violation of anything.  Given that we have 2 volunteers
(both saying "if no one else will" but neither really wanting the
position), I think it makes sense to move Tracey to Treasurer.

Once the Treasurer position is vacant, the President (that would be Alan
then) has the power to appoint  someone to fill it.  Technically, he would
have the power to appoint someone to fill the Treasurer position (Tracey)
and then someone to fill Tracey's remaining term as
membership/communications...perhaps one of the people "volunteering" for
Treasurer or one of the people who does not win in the elections for
Pres-Elect or Director at Large.

Therefore, a "special election" would not be required.

Just a thought...or two.

I have a feeling that Chuck is ready to "retire" from his treasurer position so he can focus on his new role at SFA. (I think Chuck has a countdown calendar on his desk - *smile*)

I'm happy to step in for the organization.  I will of course need to some training to make sure I know all the nuances of handling the bank, budget, taxes, etc. But I think I will be able to handle the work load.

And hopefully one of the candidates that run for one of the other positions (but does not get elected) will be interested in running for my position.

It seems to me that it would make the most sense for Tracey to take over the Treasurer position, for a year (unless Chuck wants to volunteer for 1 more year), since she and Chuck have been working hand-in-hand with Quick Books for the  past year.   Then we could hold a separate nomination and election for the Director of Membership/Communication, but not before the conference.  Although, we could ask for nominees at the conference and then have the membership vote on a replacement for Tracey, before the end of this school year.

What do you think?

1.      POSTCARD
The AHEAD in TX conference postcard is supposed to be mailed today directly from the printing service company (final draft attached).  Sorry for the delay.  It took me some time to negotiate the quote and adjust to scale down the mailing list since the 3-color printing cost more than I anticipated.   I have kept the total cost under $500.  I am currently only sending them to Disability Services offices at colleges in Texas (both traditional and "for profit").  I am not mailing to DARS/DBS or ESCs at this time.

*       Chuck -You will be faxed two invoices.  They needed me to pay for postage TODAY (~$75) before they would mail the postcards, so I gave them the credit card.  They will send the printing/labor bill later.
*       ALL - I'm hoping you will all receive one, so you can tell me when they arrive.

2.      MEMBERSHIPS & LISTSERV
I audited the membership payments and compared it to listserv this weekend.  We have 88 paid members, 8 with POs pending payment.  I removed 27 members from the listserv for not having a current membership.  I left those with outstanding POs on for now.

*       Chuck - I changed the conference exhibitor term flag to be "non-member 2012" instead of "membership 2012".  This way they can show up on the composite lists for the conference, but not show they paid members on Quickbooks Reports.

*       Cathy - When you are ready to send out the election e-mail, I will run a report of all paid, voting-eligible members (professional and institutional members -- removing associate, emeritus since they are non-voting).

Good morning everyone.  We are exactly 6 weeks away from our Pre-Conference.  Yikes!

Anyway, I've done a lot of investigating on bags for our attendees with the conference logo in full color.  

Attached are the 3 best priced bags (these are ballpark figures - until they see the logo, they cannot give me the final amount), that will allow us to order only a 100 or so bags; most required 250.  Please take time to give them a look today.

Also attached is the conference logo with some alterations to make it more readable and to allow for adding AHEAD in Texas to the logo.  Let me know what you think ASAP as we need to get these ordered pretty much now so that we can ensure no "rush" charges.

I am ok with any of the bags.  My personal favorite is on the first page.
When I tried to open the logo my computer suggested that a Trojan virus was
attached.

As for the bags, we have done the Samba bag before....I thik it was the
year before last.  It is a good bag...both Dottie and I still use ours.

Any of the bags are fine.  I lean toward the Samba b/c I know it is sturdy
but I'm fine with any of them.

The attached PDF is the current membership list as of 2/29/2012.  All individuals listed have either paid membership (95 people) or have a pending purchase order/invoice (3 people).  The 5 members highlighted in green are not eligible to vote or hold office (Associate, Emeritus or Student Members).

The Excel version has the ineligible members removed.  I would recommend e-mailing the current members directly using this spreadsheet as opposed to using the listserv so that only eligible voters get the voting e-mail.

The logo was in MS Publisher which is probably why most you could not open it.  It's not part of the standard MS office suite.  I've saved it out as a PDF so you can all view it.

I then tried to recreate the logo Photoshop and drafted a slightly different version which does not have as much overlapping of the graphics/letters.  With a little more time I could clean this up more.  I've sent both Photoshop and JPG versions of these.

If the bags can be "full-color" we might want to take advantage of that and include the red, white & blue organization logo somewhere in the graphic (though that does clash a bit with the conference colors (gold, maroon and white).

The Swing Toe (#1) is the best quality, but doesn't hold as much as the others - but plenty of room for conference materials.   Number 2 (Easy Shopper) is more easily repurposed for grocery shopping, but less professional for a conference. The third looks a little more flimsy.  I would say let's go with #1.
