[Kan-ahead] Accommodation packet questions

I'm not sure if my response will quite address your questions, but here's
what I do:

 

1.  My standard practice is to send hard-copy letters to the profs and give
a copy to the student.

2.  I send profs very abbreviated e-letters only if a student's request for
accoms has come a bit late and, thus, profs need to know more quickly that a
student will be wanting a conference with them.  I then follow up with the
fuller hard-copy letters.

3.  I send e-letters to profs individually.  I don't know that that improves
confidentiality really, and many folk question the real confidentiality of
email anyway.

4.  The hard-copy letter explains everything the prof needs to know from me,
so I have no further packet to send, unless some particular accoms grow
complicated and detailed instructions are needed.

 

So my practice has some inconsistencies. 

 

I'd be happy to read others' wisdom on such things.

Hope everyone is having a restful, cool summer with time to catch up on all
pending projects (I can dream, can't I?).  

 

We are contemplating a change in how we prepare/provide accommodation letter
packets for students this fall.  The simplified version of our current
process includes these steps:

  *  We prepare hard copy of letters and contact student to get pkts from
our office.

  *  The student makes appts with individual profs to deliver pkts/discuss
accom logistics.

 

We're considering sending the student and professors an e-mail accom letter,
and having the student pick up a Confirmation form from us to take to the
appt they set up with their profs.

 

So ... questions:

 

1.  Does your office do electronic accommodation letters?

2.  If no, no need to read further!    :)

3.  If yes, would you share the process details?

4.  What differences have you experienced in using e-mail vs. hard copies?

5.  Any problems with confidentiality?  

6.  Any problems with authenticity?

7.  Do you e-mail the student's profs in a group e-mail or individually?

8.  May we see a sample of your letter/form(s)?
